Twelve months out, the hotel inventory around Indianapolis is at its widest. Every property has rooms. Race-week rates are published. The premium options at the Speedway township are still available without a wait list. Downtown Indianapolis hotels for race weekend are also taking bookings, and the Memorial Day weekend room block opens.

This is also when ticket allocations are most flexible. Renewals from existing ticket holders close, and the unrenewed inventory is released. The race grandstand sections, the terraces, the paddock penthouse, and the premium suites all have inventory now that they will not have in February.

Ten months out — July 2026

Lock the hotel. By July of the year before the race, the top Speedway township properties are committing their race-week inventory. Eight months out — September 2026

Refine the seating selection. The IMS layout has more nuance than most attendees realize. The Tower Terrace gives you a balanced view of the start, the back straight, and pit road. Turn 1 is for people who want to see the most aggressive racing of the day. Turn 4 puts you closest to the finish. The paddock penthouse is the hospitality option for groups.

Six months out — November 2026

Build the week. The Indianapolis 500 is not a race-day event. It is a weekend that the public broadcast covers about six percent of. The cars hit the track on Tuesday for refresher practice. The drivers do appearances. The Borg-Warner Trophy moves through the city. There is a parade.

By November, we have decided how many days you are spending in Indianapolis. The Curated Trip typically runs Thursday through Monday. The Racing Passport hosted weekend can extend earlier in the week for paddock access during practice. We confirm the arrival day and the departure day.

Four months out — January 2027

Confirm flights. Indianapolis International Airport is well-served from major US hubs, and the airport-to-Speedway drive is about twenty minutes outside race traffic. We coordinate flight selection to land in time for the events you want to attend without arriving exhausted. Private transfers are arranged from the airport to your hotel.

Two months out — March 2027

The pace card arrives. The IMS pace card is the official schedule of every gate, every session, every event. It tells you exactly when each grandstand entry opens, what time the public address starts, what the schedule of supports races is. Two months out is when we walk through it with you.

We also confirm credentials at this point. The Racing Passport hosted weekend includes access events that require pre-arrangement. Paddock garage walks. Pre-race ceremonies viewing. Pit road observation during qualifying. None of that is a same-week request.

One month out — April 2027

Final preparation. Packing list (weather can swing from forty to ninety in a Memorial Day weekend), travel documents, ground transportation timing for race morning, a briefing on the rhythm of each day. By thirty days out, everything is set.

Race week — May 2027

If you have done it right, race week does not require any work from you. The hotel is confirmed. The credentials are at the front desk. The car arrangements are set. The seats are exactly where you wanted them. The schedule for each day is in your hand. All you have to do is be there.

That is the goal of planning a year in advance. Not to over-engineer the trip. To remove every obstacle between you and the experience, so that when the green flag drops on Sunday afternoon you are entirely present for the race.
